One of the largest fuel refineries in Poland required a comprehensive physical inventory across five highly specialised warehouse zones.

    THE CHALLENGE

One of the largest fuel refineries in Poland required a comprehensive physical inventory across five highly specialised warehouse zones. The project was time-sensitive and needed to be completed before the end of the year to align with internal year-end reconciliation and planning cycles.

The environment included a mix of barcoded SKUs, large-scale industrial parts, steel ingots, sealed chemicals, and heavy equipment – much of it stored outdoors. Each zone required its own unique methodology for item identification, measurement, and reconciliation.

The customer had previously used another provider but experienced delays and data inconsistencies, prompting the need for a more accurate and efficient solution.

    Why RGIS?

RGIS was selected based on its:

    • Proven experience delivering complex industrial inventory services.
    • Ability to operate safely in hazardous environments.
    • Flexibility in adapting solutions across multiple warehouse formats.
    • Use of specialist scanning equipment and custom data files.
    • Track record of completing projects faster than previous providers.

    Our Solutions

RGIS developed a tailored approach to each of the five warehouse zones:

    • Main Warehouse: Over 25,000 SKUs | Standard barcode scanning using handhelds and figure lasers.

    • Metallurgical Warehouse: Steel rods and ingots | Measured using length × density calculations.

    • Oversized Investment Warehouse: Outdoor parts storage | Manual data capture with safety and weather considerations.

    • Chemical Warehouse: Inventory in barrels and drums | Quantified in liters using client-supplied density metrics.

    • Seals Warehouse: Large rubber and metal seals | Items counted individually and manually recorded.

    Results

    • 31,000+ SKUs counted.

    • Achieved 99.95% inventory accuracy.

    • Completed 1 month faster than previous supplier and before the end of the year.

    • High satisfaction with speed, accuracy, and communication.

    Conclusion

This project demonstrated RGIS’s ability to operate in complex, multi-format warehouse environments with precision and agility.

The customer has confirmed RGIS as their preferred supplier for future warehouse counts and is currently considering expansion into fixed asset projects and ongoing inventory support services.

The success of this project further reinforced RGIS’s role as a trusted inventory partner in the industrial and refining sectors.
